For · Product, design and agile teams at tech and knowledge-intensive organisations

Miro is the most popular online whiteboard platform for remote and hybrid teams. The platform is especially popular in product, design, and agile environments. Over recent years, Miro has entered the enterprise market with a more serious offering, but for many organisations it remains a shadow IT tool that has grown bottom-up without central licence control.

The licensing model distinguishes Members (paid) from Viewers (free). As with Figma, it’s tempting to add people as Members when Viewer access would suffice for most users.

Procurement considerations

  • Conduct a seat audit before renewal

Check how many Members have been active in the past 90 days. In most organisations, 30-40% of Members are actually inactive or only needed Viewer access.

  • Negotiate Enterprise level for SSO and compliance

Miro Enterprise adds SSO, central user control, and audit logs. If you require these features, Enterprise is mandatory — but the price is negotiable.

Compliance risks

  • Sensitive data on an external whiteboard

Teams regularly place sensitive business information on Miro boards without realising they are stored by default in the cloud. Check data classification and retention settings.

Frequently asked questions about Miro

Frequently asked questions about Miro licences and procurement.

What is the difference between Miro Business and Enterprise?

Business offers unlimited boards and basic integrations. Enterprise adds SSO, advanced security, central admin control, and SLA guarantees. For organisations with more than 50 users, Enterprise is generally required for compliance.

Can I reduce Miro licences mid-term?

Mid-term reductions are not standard for annual contracts. You can adjust the number of seats at renewal. SoftVaro prepares this process and negotiates a better deal where possible.
